INTRODUCTION
This privacy notice (“Notice”) sets out how Novacroft (Charles Novacroft Direct Limited) uses and protects your personal data.

4. The types of personal data we collect about you
Personal data, sometimes also referred to as “personal information”, means any information about an individual from which that person can be identified, such as their name, address, bank account details, Internet protocol (IP) address, username or another identifier.

Identity Data and Contact Data collected from data brokers or aggregators based inside the UK.
Identity Data and Communications Data collected from publicly available social media platforms (such as Meta) based inside and outside the UK.
7. How we use your personal data
The law requires us to have a legal basis for collecting and using your personal data. We rely on one or more of the following legal bases when processing your personal data:
Performance of a contract with you: Where we need to perform the contract we are about to enter into or have entered into with you.
Legitimate interests: We may use your personal data where it is necessary to conduct our business and pursue our legitimate interests, for example to prevent fraud and enable us to give you the best and most secure customer experience. We make sure we consider and balance any potential impact on you and your rights (both positive and negative) before we process your personal data for our legitimate interests. 9. Children’s data
Our Website is not directed at individuals under the age of 16 years (Minors), and we do not knowingly collect or process personal data from Minors.
If we become aware that we have collected personal information from a Minor without appropriate parental or guardian consent, we will take steps to delete the information as soon as possible. 10. Direct marketing, third-party marketing and opting-out
Where you have agreed, we may contact you for marketing purposes concerning our services and/or to send you our newsletter. This may include information concerning promotions that could benefit you. We will only contact you using the methods that you agree to when you provide your information to us. We will only contact you by post, email, phone or SMS about our products and services if you have asked us to do so.
You can ask us to stop sending you marketing communications at any time. If you have changed your mind and would prefer us not to contact you, then you can opt out at any time by contacting us at getmore@novacroft.com or by accessing the unsubscribe link on the email sent to you and updating your preferences. We will process any such request promptly in accordance with applicable data protection laws. Please note that opting out of marketing communications does not affect transactional or service-related communications necessary for the performance of a contract or other legitimate purposes.
We will not provide your information to third parties other than as set out in this Notice.

Each time you interact with our Website, we may, depending on the consent provided, automatically collect personal information, including technical data about your device, your browsing actions and patterns, content and usage data. We collect this data using cookies, and other identifiers to remember your preferences and to understand how our Website is used. 12. Data accuracy
We are committed to maintaining the accuracy and relevance of the personal data we hold and process. Accordingly, it is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us, for example if you have a new address or change your contact email address.

13. Automated decision-making
We do not use automated decision-making or profiling in our service provision or recruitment procedures.
14. Disclosures of your personal data
We may share your personal data with the parties set out below where reasonably necessary to enable us to carry out and deliver our products and services to you, and for the purposes set out in this Notice:
- Other companies within the Novacroft Group: for recruitment and employment purposes.
- Service providers: including providers of services in relation to order processing and management and those providing ancillary services to support our business operations, including those offering IT, system administration, cloud, software services and customer call centre services.
- Marketing services partners: including parties engaged in managing our marketing activities and forwarding marketing materials to you.
- Analytics providers, such as Google Analytics, to assist us with insight analytics.
- Suppliers and administrative support: third parties, employees, agents, subcontractors and professionals who provide products, services and administrative or other business support to us.
- Professional advisers, including lawyers, auditors, accountants and insurers who provide services to us in the normal course of business.
- Other parties (with your permission): other third parties explicitly authorised by you.
This list is non-exhaustive, and there may be other situations where we need to share your personal data with further third parties to effectively provide our products and services to you.
We only allow those parties/organisations to handle your personal data if we are satisfied they take appropriate measures to protect it. We also impose contractual obligations on them to ensure they can only use your personal data to provide services to us and, where applicable, to you.
We or the third parties mentioned above may occasionally also share personal data with:

15. International data transfers
The majority of our data is held in the UK and EU. On occasion, we may transfer and process your personal data outside the UK, including to jurisdictions that may not provide the same level of data protection.
To safeguard your personal information, we ensure that all international transfers comply with applicable data protection laws and ensure that the standard of protection afforded to personal data in the destination country is not materially lower than that applicable within the UK. We undertake thorough due diligence and risk assessments before any data transfer takes place to ensure that your information has an appropriate level of protection. Where required, we implement legal safeguards, such as the specific standard contractual terms approved for use in the UK (such as the International Data Transfer Agreement or, as applicable, the International Data Transfer Addendum to the European Commission’s standard contractual clauses for international data transfers), or other approved mechanisms to ensure your data is handled securely and lawfully.

16. Data security
The security of your personal data is important to us. We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered, or disclosed. In addition, we limit access to your personal data to those of our employees, agents, contractors and other third parties that have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.
Please be aware that the transmission of information via the Internet is not completely secure. While we strive to use commercially acceptable means to protect your personal data, we do not have any control over what happens between your device and the boundary of our information infrastructure and therefore cannot guarantee its absolute security. You should be aware of the many information security risks that exist (including, but not limited to, when you contact us by email) and take appropriate steps to safeguard your own information.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

18. Data retention
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.
The factors we will take into account when determining the retention period to be applied to personal data may include:
- The amount, nature and sensitivity of the personal data.
- The risk of harm from unauthorised use or disclosure.
- The purposes for which we process the personal data and whether these purposes can be achieved through other means.
- Any applicable legal, regulatory or contractual requirements.
- Any applicable requirements and guidance under the Data (Use and Access) Act 2025, including rules on minimising retention of special category data and retaining only what is necessary for recognised purposes.

In some circumstances, such as our customer surveys, we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.
19. Your legal rights
You have a number of rights under data protection laws in relation to your personal data.
You have the right to:
Request access to your personal data (commonly known as a “subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
Request erasure of your personal data in certain circumstances. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons, which will be notified to you, if applicable, at the time of your request.
Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) as the legal basis for that particular use of your data (including carrying out profiling based on our legitimate interests). In some cases, we may demonstrate that we have compelling legitimate grounds to process your information that override your right to object.
You also have the absolute right to object any time to the processing of your personal data for direct marketing purposes (see the “Direct marketing, third-party marketing and opting-out” section of this Notice for details of how to object to receiving direct marketing communications).
Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information that you initially provided consent for us to use or where we used the information to perform a contract with you.
Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.
Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in one of the following scenarios:
- If you want us to establish the data’s accuracy.
- Where our use of the data is unlawful but you do not want us to erase it.
- Where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims.
- You have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.
We may need to request specific information from you to help us confirm your identity and ensure your valid right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests within one month. We will carry out reasonable and proportionate searches to respond to access requests. We may pause the response time while we wait for additional information.
Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
20. Complaints
If you have concerns about how your personal data has been handled or believe your privacy rights have been infringed, please contact us first at governance@novacroft.com. We are committed to addressing and resolving privacy-related concerns promptly and fairly.
Under the Data (Use and Access) Act 2025, we are required to acknowledge complaints within 30 days and respond without undue delay. We will also keep you informed of progress and any actions taken to address your concern.

We keep this Notice under regular review.
We may modify or amend this Notice from time to time at our discretion to reflect changes in our practices, legal requirements, or for other operational reasons.
